In SAP, every inventory movement automatically creates an accounting entry. In theory, the valued inventory in MM and the balance of the inventory accounts in FI always match. In practice, many companies find differences at month-end. These are the most common causes and how to tackle them.
1. Compare the right things
Start with report MB5L (list of stock values with balances), which compares the inventory value per GL account against the general ledger balance for a period. If the difference shows up there, the issue is between MM and FI; if not, the difference comes from somewhere else, such as a badly filtered report.
2. Look for manual postings to inventory accounts
Inventory accounts should only be posted from MM. If someone posts manual journal entries to them, accounting drifts away from inventory. The fix is to flag them for automatic posting only.
3. Review account determination
If a material type or valuation class points to a different account than expected, the value lands in another account. Review the automatic account determination for each combination of valuation class and transaction.
4. Clean up the GR/IR clearing account
The goods receipt / invoice receipt (GR/IR) account builds up a balance when there are receipts without invoices or invoices without receipts. It doesn't directly affect inventory, but it does affect the month-end analysis. Review the open items and clear them with MR11 when appropriate.
5. Watch price changes and revaluations
A standard price change mid-period or a revaluation creates value differences that must be posted to the right accounts. In S/4HANA the Material Ledger is mandatory for inventory valuation, so it's worth understanding how it is configured in your system.
6. Separate the physical difference from the accounting one
If SAP reconciles with itself but not with the physical count, the problem is operational: unrecorded movements, misused movement types or uncontrolled inventory adjustments. There the fix is process, not configuration.
